Principal Responsibilities:
The Executive Administrative Coordinator must:
Serve as a key support role, demonstrating skills in leadership, to provide effective management of the office of the CEO. Possess knowledge of, or willingness to learn, Judaic culture and traditions including, but not limited to, Jewish holidays, rituals and customs; along with the ability to articulate the influences of Judaic culture on our programs to members and staff.
Be sensitive to cultural differences, demonstrate flexibility and enthusiasm in work style, create a positive and harmonious workplace, effectively manage time and responsibilities and understand individual leadership styles and their influence on the well-being of the department staff. Must be able to multi-task and possess strong abilities in conflict resolution and management of challenging personalities
This individual must also be timely, specific & clear with expectations, and hold one-self and others accountable. These qualities are expectations of the position and help the Levine JCC to maintain integrity and build a cohesive team.
Minimum Qualifications:
Support Chief Executive (CEO), Chief Operations Officer (COO), Chief Impact Officer, Chief Marketing Officer, and the Chief Financial Officer.
- Executive level administrative support for the CEO and Executive team, including, but not limited to, phone calls, emails, written correspondence and other communication, donor relations and interaction, calendar and appointment management, travel arrangements, purchase orders, and assistance with meetings and presentations.
- Serve as liaison between CEO and C-Suite executives, key internal and external partners, clients, institutions, and other stakeholders; providing exceptional communication and customer service.
- Administrative support for LJCC Board and Committees, including scheduling meetings, reserving rooms, recording and uploading minutes, preparing meeting materials, meeting setup and break-down.
- Work with program staff and facilities to manage external programs.
- Oversee, maintain, and become proficient in data entry, organization and functionality of the agency's databases, which include, but are not limited to CampMinder, Accrisoft/Freedom, and Abila.
- Complete invoicing, expense reports, reimbursements and travel arrangements.
- Providing occasional event and program support.
- Perform other duties as assigned.
- Coordinating LJCC staff meetings, including scheduling, reserving rooms, preparing agendas and recording minutes.
- Overseeing LJCC's physical space, storage and office equipment to maintain an organized, clean and well-functioning office environment. This also includes performing general office assistance and administration duties.
- Monitoring office supply inventory and ordering supplies as needed
Liaison to Board of Directors
- Oversee board and committee calendars, plan and execute meeting and retreat logistics, manage board communications
- Record minutes during meetings and distribute them to board members post-meeting
- Event plan retreats and dinners
Operations Support
SKILLS AND QUALITIFICATIONS
Bachelor's Degree preferred but not required.
Excellent time management skills with a proven ability to prioritize multiple demands and meet deadlines.
Outstanding verbal, written and interpersonal communication skills.
Experienced in dealing with senior management as well as team members at all levels.
Well-organized with a customer-oriented approach.
Ability and willingness to learn new tasks and embrace challenges as opportunities.
Advanced computer skills, including proficiency with Microsoft Office Applications and an aptitude for learning new software and systems.
CPR/AED/First Aid Certified within 6 months of being hired.
Must also have the ability to maintain a flexible working schedule.

REQUIRED WORK EXPERIENCE:
1-2 years relevant administrative experience working with senior management
JOB RELATED REQUIREMENTS:
This position requires weekday office hours plus occasional weekends or evenings
This position is based in the greater Charlotte area.
This position is not hybrid and requires employee to be on site.
The hours will vary between 30-40 weekly.
Salary:
$45,000 - $55,000
