Principal Responsibilities:

The Camp and Recreation Coordinator's role is to support the programs and services that are provided to the community by the Camp and Recreation departments. The position performs a variety of administrative and program management tasks, helping to plan and organize programs needs and activities and carry out important operational duties including ensuring a smooth and consistent process for all program registrations. Hours and duties vary based on the time of year and associated programmatic activities.

Essential Responsibilities:

January to May, 30 hours per week

Department: Camp

Manage camp registrations via the JCC's current camper management software platform (e.g. Daxko, CampDocs, CampMinder, etc.).

Communicate promptly with potential and current camp families as needed.

Ensure that camper forms are returned completed to stay in compliance with State of DE and ACA standards, and any other regulatory standards if applicable.

Follow up with families that have missing information to complete and satisfy any outstanding information on camper forms or other required documents.

Ensure roster templates are revised and updated for each camp season, adjusting as needed.

Assist families with changes to their camper schedule and ensure that proper charges and/or credits are applied appropriately.

Serve as Registrar for Spring Camp; handle all registrations, changes and cancellations for Spring Camp, submit appropriate Purchase Orders (Pos) for supplies, trips, vendors, etc., print and collect rosters daily when program is in session.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

Department: Recreation Services

Maintain relationships with existing and new contracted recreation vendors, serving as the organization's liaison for communications and oversight.

Continue communication with current and perspective program users, answering questions, providing information and obtaining required data when needed.

Assist the Camp and Recreation Director with day to day operations, including but not but not limited to, gym rental contracts and bookings, maintaining rosters for rec programs, and staffing programs to assist as needed.

Monitors and maintains current recreation equipment inventory levels and assist with the processing of Pos and purchases as needed.

5 hours per week spent with the Club 345 program assisting with pick up and drop off from and to the participants classroom. Assist the Club 345 vendor with in-program management, ensure the safety of the children are priority, and complete all required paperwork as needed.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

May to September, 40 hours per week

Department: Camp

Transition to a role of Camp Office Administrator for the camp season.

The Camp Office Administrator is the "face" of the camp office. Ensure a positive, welcoming, clean, & orderly environment.

Delegate tasks to the office assistants efficiently and follow up to ensure quality completion.

Continue communications with potential and current camp families.

Communicate with the Business Office to ensure proper payments and/or credits are being completed appropriately.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

Department: Recreation Services

Maintain relationships with existing and new contracted recreation vendors, serving as the organization's liaison for communications and oversight.

Continue communication with current and perspective program users, answering questions, providing information and obtaining required data when needed.

Assist the Camp and recreation Director with day to day operations, including but not limited to, gym rental contracts and bookings, maintaining rosters for rec programs, and staffing programs to assist as needed.

Assist with the recreation equipment inventory and purchasing as needed.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

September to December, 30 hours per week

Department: Camp

Close out any outstanding business from the past summer: invoices, credits/refunds/charges, office staff follow up and reviews.

Evaluate the processes from the past summer and create a plan to increase efficiencies for upcoming summer.

Serve as Registrar for Fall & Winter Camp; handle all registrations, changes and cancellations for Fall & Winter Camp, submit appropriate POs for supplies, trips, vendors, etc., and print and collect program participate rosters daily when program is in session.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

Department: Recreation Services

Maintain relationships with existing and new contracted recreation vendors.

Continue communication with current and perspective program users.

Assist the Camp and Recreation Director with day to day operations, including but not all inclusive, gym rental contracts and bookings, maintaining rosters for rec programs, as well as stepping into programs to assist.

Monitors and maintains current recreation equipment inventory levels and assist with the processing of Pos and purchases as needed

5 hours per week spent with the Club 345 program assisting with pick up and drop off from and to the participants classroom. Assist the Club 345 vendor with in-program management, ensure the safety of the children are priority, and complete all required paperwork as needed.

Other operational duties as assigned, or as required, to satisfy the needs of the successful completion of the program(s).

Qualifications:

  • Previous experience in customer service and project management
  • Desired by not required:
  • Must be able to accommodate seasonal schedule changes
  • Must be able to effectively and in a timely manner respond to requests from others
  • Bachelor's Degree
  • Knowledge of Judaism and Jewish history and culture
