Administrator, Helen Diller Family Preschool
General Description
The Administrator for the Helen Diller Family Preschool is responsible for all business-related and office needs of the preschool. This position provides support to the Director and Assistant Director, and interacts with children and families, staff members, independent contractors, and vendors.
Responsibilities:
- Manage all administrative needs of the Preschool, including tasks and interactions related to school management, teaching staff, and parent community.
- Responsible for database management, updates, reporting, and other information-based duties.
- Manage preschool admissions and enrollment processes, including tours, open house events, backend database management, and reporting
- Handle a variety of administrative responsibilities for the preschool, including:
- Keeping systems up-to-date for all administrative procedures
- Handling routine aspects of daily operations
- Handling financial tasks such as credit card reconciliations and managing receipts
- Maintain pantry and all related food orders
- Maintain logs and processes for daily attendance
- Providing customer service in a warm and welcoming way
- Generate and distribute Early Care lists
- Manage the intake of kindergarten recommendation forms, meet application submission deadlines, track acceptance updates, and other related duties.
- Work with Assistant Director to coordinate staff payroll data and ensure accuracy of timesheets.
- Set up all preschool family households with biometric access and update as needed.
- Project-manage the roll out of new interactive school engagement app.
- Manage summer camp group lists, access codes, placards etc.
- Other duties as assigned.
Minimum Qualifications:
Requirements:
- Excellent computer skills; including Excel and web-page production
- Experience in a Salesforce or similar environment required; training on organization-specific system processes to be provided
- Excellent customer service, communication and writing skills
- Excellent organization, multi-tasking and time management skills
- Ability to create and maintain deadlines
- Prior experience in an office/administrative setting a plus.
- Previous work in an early childhood or school environment preferred
Working conditions:
Work is conducted on-site in a school setting, with regular contact with staff, children, and families.
Physical requirements:
Position requires seated or standing use of a computer throughout the day. Some light lifting and carrying.
Status:
Benefited, non-exempt, collective bargaining position
Collective bargaining unit classification:
Admin 4
Hours/Schedule:
40 hours/week; full-year employment, Monday - Friday, 8:00 am - 4:30 pm
Salary:
$55,000 - $65,000
