Principal Responsibilities:
The Marlene Meyerson JCC Manhattan seeks a highly capable, detail-oriented, and poised Executive Assistant to support the Chief Executive Officer and Executive Vice President. This is a high-trust position at the center of a dynamic and mission-driven organization.
The Executive Assistant serves as a strategic administrative partner, helping maximize the effectiveness of the CEO and EVP by managing complex logistics, communications, priorities, and daily operations. The successful candidate will combine exceptional organizational skills with sound judgment, discretion, professionalism, and the ability to anticipate needs before they arise.
In a fast-paced environment involving board members, major donors, community leaders, staff, and external partners, the Executive Assistant must be able to navigate competing priorities, manage sensitive information, communicate with confidence and tact, and represent the Office of the CEO with professionalism and warmth.
This role is ideal for someone who enjoys creating order from complexity, takes pride in flawless execution, and possesses the experience and judgment to know when to act independently and when to seek guidance.
KEY RESPONSIBILITIES
- Manage the CEO's and EVP's complex calendars, balancing competing priorities while maximizing efficiency and effectiveness.
- Coordinate closely with the Chief of Staff and senior leadership to ensure calendars reflect organizational priorities and strategic objectives.
- Schedule and coordinate meetings with our leadership, staff, donors, community leaders, and external partners.
- Manage logistical details, including room reservations, virtual meeting platforms, catering, and meeting preparation.
- Serve as a primary manager of the CEO's and EVP's email flows, helping process a high volume of incoming communications while fostering a culture of responsiveness and warmth.
- Draft, edit, and respond to routine correspondence on behalf of the CEO and EVP.
- Prioritize incoming messages, flag urgent matters, track follow-up items, and ensure timely responses.
- Exercise sound judgment in determining which matters can be handled independently and which require executive attention.
- Maintain systems for tracking commitments, action items, and outstanding communications.
- Prepare briefing materials to ensure the CEO and EVP are fully prepared for meetings and events.
- Coordinate logistics for internal and external meetings, including AV support, room setup, catering, and hospitality.
- Welcome visitors and stakeholders to the executive office and help create a professional, warm, and mission-aligned experience.
- Track action items and follow-up responsibilities resulting from meetings.
- Manage expense reporting and reimbursement processes with accuracy and timeliness.
- Maintain organized filing systems for contracts, correspondence, and executive records.
- Support special projects and organizational initiatives as assigned.
- Coordinate all aspects of executive travel, including transportation, accommodations, meeting scheduling, and logistics.
- Assist in coordinating board-related and donor-related administrative activities.
- Identify opportunities to improve administrative systems, workflows, and efficiencies across the executive office.
- Serve as a trusted problem-solver and resource for senior leadership.

Minimum Qualifications:
REQUIREMENTS
- 5+ years of experience supporting senior executives, preferably in a nonprofit, educational, healthcare, or mission-driven organization.
- Demonstrated success managing complex schedules, communications, and competing priorities in a fast-paced environment.
- Demonstrated ability to handle sensitive situations with discretion, professionalism, and sound judgment.
- Strong written and verbal communication skills; ability to draft polished correspondence for a wide range of audiences.
- Confidence interacting with senior leadership, board members, major donors, and community leaders.
- Exceptional attention to detail and follow-through; ability to manage multiple projects simultaneously..
- Advanced proficiency with Google Workspace; experience with CRM systems, project management tools, expense management software, and virtual meeting platforms.
- Resourcefulness and ability to anticipate needs before they become issues.

Work Schedule: This role is in office 5 days a week in the Upper West Side.
Salary Range: The position offers an annual salary of $70,000 - $80,000, commensurate with experience.
