Working within an inspired and dynamic team, Our Preschool Manager is responsible for the daily front desk operations of the school and oversees family communications and engagement.
Directly supervise all teachers
Oversee the operations of the school
Oversee family communications and engagement
Oversee admissions and enrollment
Oversee compliance and data management
Oversee operations and purchasing
Sustain a collaborative working team
Employ good data management practices that are essential for day-to-day program planning, management, and oversight
Ensure full compliance with applicable local, state, and federal regulations, laws, and standards that govern our programs and facilities, including permit applications and recertifications, child and personnel files, eligibility, and preparation for audits and site inspections so that our school is review ready.
Responsibilities
Day-to-day responsibilities
Support development, implementation, and monitoring of day-to-day operational systems and processes that provide visibility into goals, progress, and obstacles for key initiatives
Plan, monitor, and analyze key metrics for the day-to-day performance of the office operations to ensure efficient and timely completion of tasks
Oversee daily teacher attendance and manage coverage for teachers who call out
Ensure student attendance is taken daily and parents of absent students are contacted
Actively maintain facilities and technology
Build and maintain relationships with department heads, external partners, and vendors to make decisions regarding operational activity and strategic goals
Staff Support
Provide orientation and welcome new staff into the School's approach and philosophy
Participate in interviewing, recruitment, training, and development of Program Staff
Actively supervise staff
Cover the classroom on an as needed basis
Family Communications and Community Engagement
Manage external communication between the school and families, partners, and other relevant organizations
In partnership with the Director, work collaboratively with the Parent Committee and assist with planning and delivery of family events and projects as necessary
Build relationships with community members
Data Management / Systems Management
Manage data entry processes and conduct quarterly quality assurance to ensure data integrity
Create an effective and efficient organizational system
Maintain compliance with DOH, and other regulatory requirements
Operations
Submit purchases, receipts, refund requests, check requests, etc.
Oversee and maintain up-to-date Personnel Files, as required by DOH and other stakeholders
Oversee and maintain up-to-date files for preschool children, as required by DOH and other stakeholders
Oversee quarterly review of files to ensure all documents are up to date
Safety and Compliance
Collaborate with leadership and staff to make sure the handbook is up to date
Review, assess, and implement performance standards; conduct assessments; and develop written goals, objectives, and plans to ensure compliance with DOH, and other applicable government agencies
Identify potential areas of compliance vulnerability and risk, develop and implement correction action plans and advice on strategies for preventing similar situations in the future
Other
Attend staff meetings and training as required
Perform special projects and other duties as assigned
Requirements
Experience managing program operations
Experience with DOH, reporting and compliance systems
Excellent organizational skills with the ability to approach tasks that are complex and urgent in a systematic, deliberate, and efficient manner
Experience working with young children, either formal or informal environments preferred
Demonstrated ability to work collaboratively and manage multiple priorities and projects effectively
Demonstrated ability to handle stressful situations in a professional, courteous and friendly manner
Excellent interpersonal, organizational, verbal, and written communication skills
Ability to maintain the confidentiality of records and information
